Job Description:

This position greets and assists patients as they enter and leave the office, assuring that all desk and registration areas work smoothly and efficiently.  This position maintains an efficient appointment and patient flow system and works as part of a care team that practices evidenced based medicine in a Patient Centered Medical Home model of care.  Specifically, this position will be expected to:

  1. Collect and update all patient demographic, eligibility, and insurance information and enters data into the appropriate Electronic Medical Record (“EHR”) system.
  2. “Checks in” patients when they arrive, and “check-out” patients as they complete their visits.
  3. Answer telephones professionally and route calls according to standard policies, exercising professional judgment when urgent situations arise.
  4. Understand, and be able to communicate, policies pertinent to medical services, but also about PATHS’ other services.
  5. Enter medical, pharmacy, transportation, and ancillary service visits and related cash payments and enters data into the EHR system.
  6. Collect co-pays and other payments and answer account inquiries from patients who have questions about their accounts.
  7. Reconcile all daily cash transactions with EHR reports and prepare bank deposits according to policy standards.
  8. Maintain accurate and up-to-date appointment systems.
  9. Calls patients that ECW Messenger does not contact.
  10. Ensure all patients are reminded of their appointments, either by way of automated call from the EHR, or by manually contacting patients by phone.
  11. Arrange follow-up for missed appointments.
  12. Coordinate specialist referral requests, which can include insurance preauthorization, scheduling, sending medical records, etc. and following up on all appointments to ensure efficient flow of communication back to the referring provider.
  13. Promote PATHS’ mission and vision.
  14. Complete other duties as required.

Preferred Skills:


  • High School Diploma/GED
  • Excellent written and verbal communication skills
  • Excellent problem solving skills


  • Certified Medical Assistant
  •  or more years experience working in a medical office
  • Experience working in a federally qualified health center (FQHC).
  • Experience using eClinicalWorks electronic health record (EHR) system.
